This is a Hybrid position. The candidate is expected to work in office on Tuesdays and Thursdays and remotely on Mondays, Wednesdays and Fridays.

 

Job Purpose

In this role, the professional will plan and manage events and special programs at Baylor College of Medicine. The professional will also manage budgets for events and special programs under the leadership of the Director of Special Programs and ensure events are carried out and executed smoothly.

 

Job Duties

  • Leads planning and implementation for new and existing events, both cultivation/educational and fundraising events, that supports Baylor College of Medicine’s strategic plan and fundraising goals.
  • Responsible for event budgeting, strategic mailing list development, results analysis, venue selection and details, vendor selection and management, vendor contract negotiations, establishment and monitoring of timelines, volunteer recruitment and management, outreach and solicitation strategy and collateral, on-site requirements, and day-of-event management.
  • Works with gift officers and leadership to coordinate special donor cultivation events and meetings.
  • Serves as an organizational liaison for third-party fundraising events, providing promotional support and attending events.
  • Works with Advancement Communications team and BCM marketing and communications Department on the production of all event materials, creative and engaging program development and public relations.
  • Provides day of event coverage.
  • Adheres to established protocols, such as the Baylor College of Medicine’s gift acceptance policy.
  • Ensures reporting requirements and are completed in timely and accurate manner; utilize automated systems for tracking and reporting; record and manage donor/prospect and event data, activity in fundraising technology system.
  • Works collaboratively with Advancement staff to ensure appropriate leveraging of event volunteers, attendees and donor relationships.
  • Facilitates all volunteer event committees and manages all event volunteers.
  • Acts as a liaison to community groups and vendors, as assigned.

Minimum Qualifications

  • Bachelor's degree.
  • Four years of relevant experience.
