Maintain and update the donor database to ensure the integrity of donor records. Analyze information gathered and used for fundraising and stewardship and help design and maintain moves management systems and processes to use donor and prospect information to its fullest potential.


  1. Maintain high level of database oversight, ensuring accurate entry and maintenance of information, including existing and prospective donors.
  2. Acknowledge gift receipts timely and accurately
  3. Using analysis, produce donor segmentation reports for applicable campaigns
  4. Document, maintain and update policies and procedures for the development department
  5. Establish and maintain donor files and file system
  6. Maintain moves management system of donors and prospects in database
  7. Collaborate with the development team to produce viable fundraising campaigns
  8. Reconcile regularly (monthly and semi-annually) with the Accounting Department to ensure the integrity of gift entries
  9. Coordinate and execute mass mailings including but not limited to donor mailing lists, printing of collateral, postage and mailing
  10. Update text of template documents as required
  11. Send monthly pledge reminders, notify Chief Advancement Officer of unpaid pledges and have plan for follow-up
  12. Support and train Development staff in proper use of donor software
  13. Prepare reports and presentations for the Chief Advancement Officer
  14. Provide staff services to Advancement Committee and other department staff as necessary
  15. Ensure that donors and volunteers feel valued and supported when requesting information and assistance
  16. Assist with coordination of Development intern schedules and activities
  17. Serve as integral staff alongside Development colleagues at fundraising and special events
  18. Assist with large projects, donor cultivation events and other related activities
  19. Represent San José Clinic at community events or meetings as necessary
  20. Safeguard donor and patient confidentiality at all time
  21. Support a culture of philanthropy
  22. Participate in conferences and staff meetings
  23. Follow all HIPAA and OSHA guidelines and regulations, including assisting HIPAA and OSHA Officers in ensuring compliance
  24. Maintain established San José Clinic policies, procedures, objectives, quality assurance, safety, environmental and infection control
  25. Implement job responsibilities in a manner that is consistent with the San José Clinic Mission and Code of Conduct and is supportive of San José Clinic cultural diversity objectives
  26. Perform other duties as assigned



  1. Bachelor’s degree from an accredited university or 5+ years experience in database management
  2. A minimum of two years special events and development experience in a fund development setting
  3. Can demonstrate excellent organizational skills, multi-tasking and effective use of time; can complete multiple tasks or projects with multiple deadlines
  4. Ability to deal professionally, courteously and efficiently with external and internal customers at all levels of the organization
  5. Ability to operate computer, copier fax, and 10-key machine
  6. Must be proficient in Microsoft Office and donor management database (Raiser’s Edge NXT)
  7. Can demonstrate effective verbal and written communication skills
  8. Can demonstrate effective customer relation skills, working with diverse populations, often in stressful fast paced environments
  9. Bilingual in English/Spanish preferred


  1. Ability to sit, stand, bend and stoop for (long) periods of time
  2. Ability to exert up to 50 pounds of force occasionally/ frequently
  3. Ability to respond to emergency/crisis situations
  4. Exposure to noise
  5. Exposure to blood and/or fluids
