Galveston County Health District is seeking an Administrative Assistant!

**THIS IS A FULL TIME, TEMPORARY POSITION THAT ENDS June 30, 2023**

This position is responsible for providing administrative support to the Executive Office by undertaking a variety of clerical support tasks, such as preparing and retaining a variety of documentation, reports, records and summaries, and will also entail transcribing, consolidating and organizing notes and drafts. Other duties include data entry; assisting callers, customers and/or visitors of the Executive Office; and assisting members of the Executive Office staff as needed.

Required:

· Graduation from an accredited high school or equivalent

· Two (2) years of progressively responsible clerical or administrative experience in an office setting, or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job

· Ability for spur of the moment transportation without relying on organization vehicles

· Must possess or ability to readily obtain a valid driver’s license issued by the State of Texas for the type of vehicle or equipment operated

· Department of Motor Vehicle check may be required, if applicable

· Customer Service Oriented

· Excellent written and verbal communication skills

· Excellent Computer Skills MS Office

· Must be willing and able to work evening and weekend hours if necessary

· Must be in compliance with GCHD Immunizations policy

· Must be in compliance with ICS training requirements

· Must pass criminal background check and drug/alcohol screening

 

An equivalent combination of education and work experience which appropriately demonstrates the knowledge, skills and abilities to perform the above described essential functions will be considered when hiring for this role.

 

Traditional Duties:

· Providing administrative support to the staff of the executive office, reporting directly to the Executive Office Coordinator/Executive Assistant to CEO

· Taking minutes for any meeting for members of the Executive Office, when assigned to do so by your supervisor

· Performing general administrative and clerical support, including handling incoming and outgoing mail, scans, faxes, and copies, as well as answering and directing telephone calls

· Assist in COVID and other disease response as needed

· Monitoring office supplies and entering purchase requisitions when necessary

· Serving as Executive Office Asset Custodian

· Serving as the Executive Office’s front desk receptionist and maintaining a cordial and customer service-oriented demeanor

· Serving as the liaison between Executive Office management and customers and section staff/employees; responding to questions regarding department activities and services

· Serving as the backup to the Executive Office Coordinator/ Executive Assistant to CEO, which primarily entails carrying out roles as assigned by the Chief Executive Officer in the absence of the Executive Office Coordinator/Executive Assistant to CEO

· Performs other duties as assigned by supervisor
